QuickBooks Online: Where do I begin?

Here is a step-by-step tutorial on using QuickBooks Online as a newbie.

Setting Up Your Company Information in QuickBooks Online Help

Setting up login credentials, such as a new ID and a secure password, is the first stage in your QuickBooks Login process. You'll see a screen similar to this one after logging into your QuickBooks account:

Here, you can fill in two important details about your company:

  • What's your business called?
  • How long you've been in business?

You'll see a checkbox at the bottom to see if QuickBooks Desktop has been used by you. If you have, you can import your data using this option if you need to.

You'll see a menu on the left with "Company" as the first item. By choosing that option, you'll have access to several web pages where you can enter details about your business.

The screen you see above is an illustration of what you would see if you choose the "Company" option. You'll start by typing your company name once more. Use your full legal name, please. A company logo is an additional option. Any documents you produce in QuickBooks, such as invoices and reports, will bear your firm's identity if you add a company logo to them.

You will then be presented with the following screen, where you may choose which accounting tasks you want to utilize QuickBooks Online for.

As you proceed through the remaining business setup screens, you will be able to:

  • Choose your industry
  • Enter business address
  • Enter company website
  • Enter e-mail address

Choosing Accounting Preferences For Your Business

The following step in starting up with QuickBooks Online is to decide on the accounting systems you want to use. Accrual Accounting is the default option. This can be modified by selecting the "Advanced" tab from the menu, and other vital information can also be entered here

Here, you can enter the following information:

  • The first month of your company's fiscal year
  • The first month of your company's income tax year

When you check the "Close the Books" radio button, you will be prompted to enter the date on which you'll close your books for the fiscal year. To limit access and reduce the risk of errors, we recommend that our clients set a password for closing the books. If you select the option to create a password, you will be prompted to do so. Only employees with the command to close the books should have access to it.

Creating an Account in QuickBooks Online

Setting up your accounts is where you will spend the majority of your time when starting up with QuickBooks Online accounting. We've already mentioned that if you've been using QuickBooks Desktop, you can import data from it. If you haven't already, there are still options to expedite the process.

To import your customers into QuickBooks Online, press the gear icon in the upper top right of the QuickBooks Online window. Choose "Import Data" from the menu that displays.

You can import Customers, Suppliers, Accounts, Products, and Services, as you can see. Because the importing process is similar for all four, we'll simply demonstrate how to import your clients. Select that option, then navigate to the format file (CSV or Excel) you want to source.

Synchronizing Your Accounts with QuickBooks Online

Before you begin employing QuickBooks Online for bookkeeping and accounting, you must first sync your accounts. Any account that you use to pay or receive money for your business should be synchronized, including:

  • Your business bank accounts
  • Your business credit cards
  • Your PayPal account

We strongly advise you to keep your expenses independent from your bookkeeping.

Click Bank Accounts and then Add an Account to connect to a bank account. You will also need to sign into your bank account, so have your credentials ready. QuickBooks will fetch the last three months' worth of financial transactions once connected. You must evaluate and reconcile, or categorize, them before entering them into QuickBooks. Make sure to schedule time for this phase.

Conclusion

QuickBooks Online is a user-friendly accounting software that comes highly recommended. It can handle everything including invoicing to taxation to payroll. We also provide QuickBooks Support Services if you are having trouble with your QuickBooks account.
